Hotel request guide

When to ask a hotel for an upgrade

There is no single best hour that applies to every hotel and booking. Ask early enough for the hotel to record the request, then find out when it can reasonably confirm availability.

If your stay is weeks away

You may ask the hotel to note the request. Do not expect it to commit a discretionary room while future availability can still change. Ask when it recommends checking again.

If your stay is in the next few days

Contact the hotel using the address or messaging option attached to your booking. Include the reservation number, dates, room category and request. If it cannot confirm, ask whether you should check again before travelling or at reception.

If you arrive today

Use the hotel’s normal contact channel or ask at reception. A same-day enquiry can still be useful because staff can explain the options available for that booking. Do not assume an early email would necessarily have changed the answer.

If you have a published benefit

Follow the programme’s instructions. Some benefits are requested in advance, some at arrival, and many depend on the participating property, eligible rate or availability. Use the programme terms and your hotel’s guidance rather than a general internet rule.

A useful timing question

Would you be able to note my room-upgrade request for the stay beginning 13 October? If availability cannot be confirmed yet, please let me know when I should check again.

What timing cannot do

Timing does not reveal unsold inventory, override programme rules or guarantee that a room will be available for the entire stay. The purpose is to make a relevant request and understand the hotel’s next step.
