Hotel request guide
How to ask for a hotel room upgrade
You can ask a hotel whether a higher room category is available. A useful request identifies the booking, makes one clear enquiry and leaves the decision with the hotel.
Hotel upgrade email example
Subject: Room upgrade enquiry for 13 October
Hello, Reservation: [Confirmation Number] I’m looking forward to my stay at [Hotel Name] from 13 to 16 October. I’ve booked a Deluxe King room. If a higher room category is available for the full stay, would you be able to consider an upgrade? Please let me know whether there would be an additional charge before making any change to my booking. Thank you, [Your Name]
What to include
- Your name, reservation number and dates.
- The room category you booked.
- One specific request, phrased as a question.
- A request to confirm any price or condition before the booking changes.
Only mention a special occasion if it is true and you want it included. If you have loyalty status, check that the property and rate participate before treating a benefit as part of your booking.
When to ask
Hotels differ. Some record requests well before arrival; others cannot assess availability until closer to check-in. Ask whether the hotel can note or consider your request and, if it cannot confirm yet, when you should check again. You can also ask at reception.
What to say at reception
Hello, I wanted to check whether an upgrade might be available for my stay. Could you let me know about any additional charge before changing my booking?
What an answer can mean
The hotel may confirm a complimentary upgrade, offer a paid option, note the request without confirming it, or decline. Ask for the category, total price and relevant conditions before accepting a paid change. A polite request does not create an entitlement.
